Notes pile up unprocessed, the todo list fills with things that will never happen, and within a month you stop trusting it — which is fatal, because a system you do not trust is one you route around. Thirty minutes, once a week, same slot. The consistency matters more than the thoroughness. ## 1. Clear the inputs (10 min) Empty every inbox to zero. Not *done* — **decided**. Every item gets exactly one of: | Decision | Action | |---|---| | Do it | Under two minutes, do it now | | Schedule it | Put it on a specific day, not "soon" | | Delegate it | Send it, note who and when you will check | | File it | It is reference, not action — put it where you would look for it | | Drop it | Delete without guilt | "Drop it" is the option people skip, and it is the one that keeps the system alive. A list that only grows stops being read.
